Tips on being more efficient at work

For a business to succeed and grow, you need your employees (and yourself) to be as efficient as possible. The business world is fast-paced, and if you aren’t efficient, you risk falling behind, which could affect your revenue and profits. When being more efficient, there is a fine balance whereby you are trying to be too efficient and make mistakes, or you aren’t being efficient enough – this is why it’s important you are aware of this, and actively make changes to your routine to hit the sweet spot.

To be more efficient, there are various things you can do. Using professional diary management services can help, and so will planning your day the night before (this can really help). Eliminating any distraction is a must (we are sad to say, but pause any social media break you take, chances are they are too long), and use the right tools and technology – there are so many pieces of tech out there that can help you be more efficient.

Eliminate any distractions 

First and foremost, the quickest change that you can make is to remove any distractions that you know affect your working day. Do you scroll on your phone too much on social media? Do you constantly check your emails whilst in the middle of a task, or do you get up and socialise too much with your employees? Whatever the distractions you think you may have, there is always a way to alleviate them to help your performance. For example, if you scroll on social media too much, you could put a lock on your phone for a certain number of hours. If you find yourself checking email too much, close it down and put your laptop into DND. And if you talk too much, work in a different environment, such as a local coffee shop or co-working space, if you need privacy. 

Learn to say no

It’s another simple change which you can make to your routine, but for some reason, a lot of people don’t do it enough. Learn to say no when you don’t have the time to help. By saying no to someone, it allows you to focus on the tasks you currently have going on, allowing you to complete them to the best of your ability. If you take on too much work because you keep saying yes, you will quickly become overwhelmed and won’t complete any of the work to the best of your ability. By saying yes and then letting people down, this is a lot worse than if you had said no in the first place and explained that you are currently at capacity. When you free up some time, you can always go back to them and see if you can help. 

Use tech to your advantage 

Tech is your friend and something you can turn to when you need help, in this case, with being more efficient at work. Every week, new pieces of tech are being released. Some of this tech will have been designed with efficiency in mind. Maybe it’s there to help you work quicker, there to help reduce any mistakes you may be making, or to do a certain job for you. For example, AI is something a lot of companies are investing in at the moment, as you can use it to support you with your work (just like having an assistant). You could use AI to help with a website, edit photos or create a PowerPoint for you

Plan your day the night before

Sometimes the hardest part of your day can be getting started. You might find you sit down at your desk, take a look at your laptop and just don’t know where to begin. If you plan your day the night before, it can make it so much easier to just get on with the tasks at hand, rather than spend time figuring out what you need to do before you even do it. You should also get things ready for the day, such as planning what you’re going to wear and laying these clothes out, getting things ready for breakfast on the side and doing some meal prep for your lunches for the week. This can all make it so much easier to maximise your efficiency.

Have a motivational work space

If you are trying to work from home but are sitting at your dining room table, or in your kitchen surrounded by clutter and mess, you’re not going to be in the right mindset for productivity. Instead, you should ensure you have a motivational workspace that is free from distractions and has all you need to just get going. If you don’t have a room in your house, you could look to build a home office in your garden, or invest in a coworking space. You’ll be surprised what a difference it makes just being in an environment that is designed for work. You will plough through your tasks in no time.

When making changes to your daily habits to be more efficient, make a couple of changes at a time. This way, you won’t feel too overwhelmed, and they are more achievable. Once you have those under control, you can start making additional changes – one day you’ll be the most efficient person you have ever been!
